Contract & costs
How much does a business address cost?
That depends on what you need – just the address, a desk or more. After your enquiry, we will get back to you within 24 hours on working days and you receive an individual, non-binding offer. We aim for a consistent, predictable fee – with no price adjustment clause and no usage-based extra charges for the included services; use of the meeting areas is included in it. The offer lists all costs in full. The term and notice period are set out in your offer and in the contract.
Why do I have to prove my identity?
Before the contract is concluded, we identify every contractual partner – companies and sole proprietors alike. You complete a short identification form and present your ID document once in the original; we make a copy of it for our records (for sole proprietors, with your consent). You receive a copy of the form for your own files. For companies, this is a legal requirement under the German Money Laundering Act (Geldwäschegesetz, GwG; § 2(1) no. 13 GwG; details under anti-money laundering). We identify sole proprietors as a matter of due care. We will tell you with our offer which documents we need for your legal form (see also “How it works”).
Please never send identity documents by email, via WhatsApp or through the enquiry form.
Address & authorities
Can I register the address as the registered office of my GmbH or UG in the commercial register?
Yes. If your articles of association name Schönefeld as the registered seat, our address can be used as the address at your company’s seat and as its domestic business address (inländische Geschäftsanschrift), for example in the commercial register (Handelsregister), in the legal notice (Impressum) of your website and on business stationery. This requires a rental agreement, a postal power of attorney (Postvollmacht) and a label on your mailbox.
Where your company is treated as operating for tax and trade purposes (permanent establishment, place of management) depends on what you actually do and where. Read more under “Compliance & usage models”.
Can I use the address as a sole proprietor or freelancer?
Yes, as the business address for your invoices and business stationery. Sole proprietors who are not registered as e. K. (eingetragener Kaufmann) have no commercial register entry. Where you register your trade and which tax office is responsible depend on where you actually work. Please clarify this with the trade office (Gewerbeamt) or your tax adviser.
Do I need a desk to use the business address?
No. The business address is also available on its own, without a desk – often called a “virtual office”, but with us it comes with a personal, lockable mailbox on site. This suits small businesses, freelancers and sole proprietors in particular who want to keep their business and private addresses apart, for example for their invoices and business stationery.
You can ask for a flexible or dedicated desk in addition at any time – we offer desks together with the business address. Where you actually work determines how your business is classified for tax and trade purposes – see our compliance statement.
Will my private address stay private?
Your private address does not have to appear as the business address in the commercial register or on business stationery – nor, for a GmbH, UG or holding company, in the legal notice (Impressum) on your website. The place of residence and date of birth of managing directors and shareholders remain visible in the commercial register or in the list of shareholders (Gesellschafterliste).
Can I sign the contract before my company is registered?
Yes – as a company in formation (“i. G.”, in Gründung); how this works before the notary appointment is something we clarify with you in our offer. This way you have the address in time for your notary appointment and can use it for the registration as soon as your identity has been verified and the contract has been signed. We will tell you with our offer which documents to submit before and after registration.
Which documents will I receive for the notary, commercial register, trade office and bank?
With your contract, you receive your rental agreement and a confirmation of address for the notary, the commercial register (Handelsregister), the trade office (Gewerbeamt), the tax office (Finanzamt) and your bank – together with your postal power of attorney, a copy of your identification form and the house rules, plus the data protection agreement if you use the scan service. You usually receive the documents shortly after the contract has been signed. You receive our privacy notice for tenants before the identity check.
Bank & tax office
Will my bank accept the address?
Nobody can guarantee that: every bank decides as part of its own checks. We provide you with complete documents, and our compliance statement is publicly available. Banks typically ask for the rental agreement and a confirmation of address.
Does an address in Schönefeld reduce my trade tax?
Not through the address alone. Trade tax (Gewerbesteuer) is levied by the municipality in which your company maintains a permanent establishment (§ 4 GewStG). A business address on its own does not create a permanent establishment. If you actually carry out your business or management here, Schönefeld’s municipal trade tax multiplier (Hebesatz) may apply to the share attributable to it. Please clarify your situation with your tax adviser – we do not provide tax advice.
How is my mail accepted?
With your postal power of attorney, we accept letters, including items that require a signature such as registered mail (Einschreiben) – except items with Ident-Check, which only you can receive in person – as well as parcels of normal size, and place everything in your personal, lockable mailbox – unopened unless you instruct us otherwise. We notify you by email when mail or a parcel arrives for you. You empty your mailbox yourself, around the clock – subject to operational availability. On request, you can also use our scan service or have your mail forwarded.
Do you scan my mail?
Yes, on request – with our scan service. Monday to Friday, we then open the letters that have arrived for you, scan them as searchable PDF files and send you the scans by email, encrypted in transit (TLS), to the address you have given in your postal power of attorney. We place the originals in your mailbox. We do not open parcels or packets.
We do not scan items containing access credentials, such as PIN, TAN or password letters, or letters that recognisably contain special categories of personal data (Art. 9 GDPR, for example on health) or information on criminal offences (Art. 10 GDPR) – for example from doctors’ surgeries, hospitals, trade unions, public prosecutors or the police. We place such items in your mailbox – unopened where this is recognisable – and send you an email letting you know that something has arrived, without naming the sender or the content.
Only staff who are bound to confidentiality and have been instructed on the secrecy of correspondence (Briefgeheimnis) have access to your mail and the scans; we do not use the contents for our own purposes. We keep the scans during the term so that you can request a scan again. At your request, we delete them within 14 days, and within 30 days after the scan service ends.
You commission the scan service in your postal power of attorney – which authorises us to open your mail – and with a separate data protection agreement (data processing agreement under Art. 28 GDPR). Without this instruction, we do not open your mail. You remain responsible for dealing with your mail, in particular for meeting deadlines.
Do you forward my mail?
Yes, on request. We will agree the details with you. Unless you ask us to forward it, your mail stays in your mailbox until you collect it; we notify you by email when something arrives. If you would rather receive your letters digitally, you can use our scan service.
Can I use the address if I live abroad?
Yes, as a business address. We notify you by email when something arrives for you. On request, we scan your letters and send you the scans by email – see “Do you scan my mail?”. Forwarding is also possible on request; we will agree the details with you. Anything in your mailbox, such as originals or parcels, can be collected during our office hours by a person you have authorised. You cannot register your residence (Anmeldung) at our address.
Other questions
How do you handle reviews?
On our website we show the average rating of the public reviews on our Google Business Profile. As of 29 September 2026: 5.0 out of 5 stars across 15 reviews from the last three years. Reviews are written by Google users directly on Google and published by Google; Google calculates the average.
We do not check whether reviewers have actually used our services. We have no influence on which reviews are published, the order in which they appear or how the average is calculated. We can only report a review to Google if it breaches Google’s policies. According to Google, reviews are not verified by Google, but Google looks for fake content and removes it.
We do not offer anything in return for reviews. You can read all reviews, including critical ones, directly on Google – the link is shown next to the figures on our website.
